What a dental office needs from an AI receptionist
New patient intake
Name, phone, insurance carrier and reason for the visit, sent to the front desk as a message or form.
Booking and rescheduling
Into a calendar the AI can read, or a request your team confirms in the practice management system.
Emergencies
A rule that sends toothache, swelling and trauma calls to the on-call dentist instead of a message queue.
Office questions
Hours, location, parking, accepted insurance and new-patient specials, answered from what you give it.
Because intake involves patient information, the same rule applies as for any practice: a signed BAA first. Read the medical office guide for what HIPAA requires of vendors.
AI receptionists for dental offices compared
Three vendors publish dental-specific pages (Upfirst, Dialzara and Rosie), but of those only Upfirst offers a BAA, and only on its Custom plan. My AI Front Desk and Goodcall publish BAA options without dental-specific pages. Cost assumes 300 calls a month at 3 minutes.
| AI receptionist | Dental page | BAA | Booking | Cost at 300 calls |
|---|---|---|---|---|
| Upfirst | Yes (upfirst.ai/industries/dental) | Custom plan only | Google, Outlook, Calendly, Acuity, Square | $159.95 |
| Dialzara | Yes (Dental Offices page) | No claim found | Google, Outlook | $349 |
| Rosie | Yes (Dentists page) | No claim found | Calendly, Google, Appointlet, Acuity | $149 |
| My AI Front Desk | Not mentioned on its homepage | Claims signed BAAs | Google, Outlook, Calendly | $274 |
| Goodcall | None found | Scale ($299) or Enterprise | Google Calendar | $299 on Scale (BAA) |
| Synthflow | n/a | HIPAA claimed; BAA not confirmed | Dentrix integration listed | Contract from $30,000 a year |
Booking into your practice software
Of the ten products we compared, only Synthflow names Dentrix on its integrations page, and Synthflow sells enterprise contracts from $30,000 a year. The others book into Google Calendar, Outlook, Calendly or similar. For most practices that means one of two setups:
Request and confirm
The AI collects the patient's preferred times and sends a request; your team books it in the practice management system. Works with any AI receptionist and keeps the schedule in one place.
Shared calendar
You publish open slots to a calendar the AI can read, and it books directly. Faster for patients, but someone has to keep that calendar in sync with the real schedule.
What it costs for a dental practice
A single-dentist office might take 200 calls a month; a multi-chair practice 800 or more. Cheapest published plan at each volume (3-minute calls):
| Software | 200 calls | 400 calls | 800 calls |
|---|---|---|---|
| My AI Front Desk | $199 | $349 | $649 |
| Goodcall | $129 | $129 | $207 |
| Upfirst | $159.95 | $234.95 | $439 |
| Rosie | $149 | $299 | No published plan |
| Dialzara | $239 | $419 | $839 |
| NextPhone | $199 | $199 | $199 |
Only My AI Front Desk and Goodcall (Scale, $299) publish a BAA option at a listed price. Goodcall's figures above use the cheapest plan for the volume; with a BAA you would be on Scale at $299 up to 2,000 unique callers.
Setting up an AI receptionist for a dental office
- Sign the BAA on the plan that includes it before any patient calls are forwarded.
- Load your office facts: hours, address, parking, insurance you accept, cancellation policy and new-patient process.
- Write intake questions for new patients and an emergency rule that transfers to the on-call dentist.
- Choose booking: request and confirm, or a shared calendar.
- Start with after-hours and lunch overflow, then extend once transcripts look right.
- Announce the AI and recording in the greeting.
Questions to ask before you buy
- Will you sign a BAA on the plan we are buying? Get it before any patient calls are forwarded.
- Can it read our real availability, or will it send requests for us to confirm?
- How does it handle a dental emergency after hours: which number, how many retries, and what if nobody answers?
- Where are recordings and transcripts kept, who at the vendor can access them, and for how long?
- Does it speak Spanish or the other languages your patients use?
- What happens when we exceed the plan? My AI Front Desk bills $0.25 a minute past 200; Goodcall Scale covers 2,000 unique callers.
Live answering for dental offices
If you want people on the phone, Ruby lists HIPAA-compliant services and Abby Connect offers HIPAA options for human answering. At the same volumes:
| Option | 50 calls (150 min) | 100 calls (300 min) | 150 calls (450 min) |
|---|---|---|---|
| My AI Front Desk (AI, claims BAAs) | $99 | $124 | $161.50 |
| Ruby (human, HIPAA services) | $720 | $1,725 | $1,725 |
| Abby Connect (human, HIPAA options) | $599 | $1,380 | $1,380 |
| PATLive (human) | $293.50 | $479 | $759 |
Goodcall's Scale plan with a BAA is $299 at any of these volumes. Live answering costs several times more than an AI plan with a BAA, and Ruby and Abby publish no plans beyond 500 minutes.
Recording consent
Most of the products we compared record calls by default: Goodcall, Smith.ai and Dialzara each say every call is recorded and transcribed, and My AI Front Desk says every call is "recorded, transcribed, and summarized". Recording a phone call is governed by federal and state law, and the rules differ by state.
One-party consent (federal rule)
Federal law allows a recording when the person recording is a party to the call or "one of the parties to the communication has given prior consent" (18 U.S.C. 2511(2)(d)).
All-party consent (some states)
Some states require everyone on the call to agree. Florida allows interception only "when all of the parties to the communication have given prior consent" (Fla. Stat. 934.03(2)(d)), and Washington requires "the consent of all the participants" (RCW 9.73.030).
The practical step is the same everywhere: have the greeting say the call is answered by an AI assistant and may be recorded. Products such as Rosie and Dialzara list a custom greeting or custom AI voice; ask your vendor how to add the notice. This is general information, not legal advice; check your own state's statute if your callers are in an all-party state.
Frequently asked questions
What is the best AI receptionist for a dental office?
For patient calls, start with the ones that publish a BAA option: My AI Front Desk ($99 a month, claims signed BAAs) and Goodcall (BAA on its $299 Scale plan). Upfirst has a dental page and offers BAAs on its Custom plan. Synthflow lists a Dentrix integration for enterprise practices.
Can an AI receptionist book into Dentrix?
Among the products we compared, only Synthflow lists Dentrix, on enterprise contracts from $30,000 a year. Others book into Google Calendar, Outlook or Calendly, or send a booking request for your team to confirm.
How much does an AI dental receptionist cost?
At 200 calls a month, published plans run from $129 (Goodcall Growth, without a BAA) to $199 (NextPhone). With a BAA, My AI Front Desk costs $199 and Goodcall Scale $299.
Is an AI dental receptionist HIPAA compliant?
Only with a signed BAA and careful setup. We found no HIPAA or BAA claim on Dialzara or Rosie, even though both have dental pages.
Can it handle dental emergencies?
It can follow a rule you write, such as transferring calls about swelling, trauma or severe pain to the on-call dentist. Check that transfers are on your plan: Upfirst includes warm handoffs on every plan; Rosie's transfers start on Scale ($149).
Should a dental office use a live answering service instead?
If budget allows and you want a person on every call, Ruby and Abby Connect both list HIPAA options for human answering, at about $599 to $720 for 200 minutes a month.
