How to set up an AI receptionist

Count your monthly calls, pick a plan that includes the features you need, train it on your website and FAQs, connect your calendar, write a greeting that says it is an AI and the call may be recorded, set transfer rules, test it yourself, then forward your number, starting with missed or after-hours calls. Vendors claim setup times from under 5 minutes to about 15 minutes for self-serve products.

The setup steps

  1. Count your calls. Pull last month's inbound calls and average length from your phone bill or call log. This decides the billing model: minute bundles for short calls, per-call or per-caller billing for long calls, flat pricing for high volume. Try your numbers in the calculator.
  2. Pick a plan that has the features you need. Check transfers, calendar booking, texting and CRM sync on the plan itself: Rosie's booking and transfers start at $149, Dialzara's transfers at $349, and NextPhone's CRM updates at $299.
  3. Gather your business facts. Hours, address, services and prices you are happy to quote, service area, policies (cancellations, deposits), and the ten questions you hear most.
  4. Train it. Most products read your website. Upfirst builds from your website, Rosie from your Google profile and website, RingCentral AIR from your website, FAQs or uploaded documents. Then correct anything it got wrong.
  5. Connect your calendar and CRM. Google Calendar and Outlook are supported almost everywhere; industry software varies, so check the vendor's integration page.
  6. Write the greeting. Say the caller has reached an AI assistant and that the call may be recorded (see consent rules below).
  7. Set transfer and message rules. Who gets emergencies, who gets sales calls, what happens when nobody answers, and where summaries go.
  8. Test before forwarding. Call it yourself with real questions, including awkward ones. Smith.ai's Quality Studio and Goodcall's demo agent are built for this.
  9. Forward your number. Start with unanswered or after-hours calls, then move to all calls once you trust it.
  10. Review transcripts weekly. Fix wrong answers in the knowledge base and adjust rules. Plan on daily checks for the first two weeks.

Keeping your phone number

You rarely need to port. Forwarding sends calls from your existing number to the AI's number, and you can switch it off any time, which also makes it easy to change vendors later.

ProductKeeping your number
UpfirstForward from a cell, landline or VoIP number with no porting; porting at no extra charge
DialzaraFree porting of a US or Canada number; forwarding works while the port runs
My AI Front DeskForward with *72 plus its number (and *73 to turn it off), or a full port-in it coordinates
GoodcallForward your number; porting is not available yet
NextPhoneForward a business, cell or landline number, or get a new number
RosieCall forwarding; your original number stays the same
RingCentral AIRKeep your current numbers

Forwarding codes depend on your carrier. Goodcall notes that forwarding can cover unanswered calls only or every call, depending on the carrier.

What to put in the knowledge base

Include

  • Hours, holidays and address
  • Services and the prices you are willing to quote
  • Booking rules and lead times
  • Service area
  • Policies: cancellations, deposits, payment methods
  • Who handles what, with transfer numbers

Leave out

  • Anything you would not want read to a stranger
  • Prices that change weekly
  • Advice you are not licensed to give by phone (legal, medical)
  • Staff personal mobile numbers, unless used only for transfers

Can you build your own AI receptionist?

Yes, on a developer platform, if you have technical help. Bland's Start tier has no platform fee and charges $0.14 a minute plus telephony, and Bland says self-serve teams often deploy a first agent within a day, with most production agents live in two to six weeks. Building means writing the conversation flow, connecting telephony, calendars and CRM yourself, and maintaining it. For most small businesses a finished product is faster and cheaper: Upfirst starts at $24.95 and Smith.ai is free for 25 calls.

Most of the products we compared record calls by default: Goodcall, Smith.ai and Dialzara each say every call is recorded and transcribed, and My AI Front Desk says every call is "recorded, transcribed, and summarized". Recording a phone call is governed by federal and state law, and the rules differ by state.

One-party consent (federal rule)

Federal law allows a recording when the person recording is a party to the call or "one of the parties to the communication has given prior consent" (18 U.S.C. 2511(2)(d)).

All-party consent (some states)

Some states require everyone on the call to agree. Florida allows interception only "when all of the parties to the communication have given prior consent" (Fla. Stat. 934.03(2)(d)), and Washington requires "the consent of all the participants" (RCW 9.73.030).

The practical step is the same everywhere: have the greeting say the call is answered by an AI assistant and may be recorded. Products such as Rosie and Dialzara list a custom greeting or custom AI voice; ask your vendor how to add the notice. This is general information, not legal advice; check your own state's statute if your callers are in an all-party state.

Common setup mistakes

  • Buying the cheapest plan without the feature you need, then upgrading after a month of missed transfers.
  • Forwarding every call on day one before reading a single transcript.
  • Letting the website be the only source when it has old hours or prices.
  • No rule for callers who ask for a person. Always give them a transfer or a firm callback.
  • Ignoring what is billed. Check whether spam and short calls count on your plan.

Frequently asked questions

How do I set up an AI receptionist?

Count your monthly calls, choose a plan with the features you need, give it your website and FAQs, connect your calendar, write a greeting that says the call is answered by AI and may be recorded, set transfer rules, test it, then forward your number, starting with after-hours or missed calls.

How long does it take to set up an AI receptionist?

Vendors claim from under 5 minutes (My AI Front Desk, NextPhone Pro) to about 15 minutes (Smith.ai) for self-serve products, and from a day to six weeks for developer platforms like Bland. Plan on a few hours of your own time to write rules and test.

Do I need to port my phone number?

Usually not. Upfirst, Rosie, NextPhone, Goodcall and My AI Front Desk all work with call forwarding from your existing number. Dialzara and Upfirst also port numbers for free if you want to move it.

How do I build my own AI receptionist?

Use a developer platform such as Bland ($0 platform fee, $0.14 a minute plus telephony on its Start tier) and build the conversation, telephony and integrations yourself. Bland says most production agents take two to six weeks.

Do I have to tell callers they are talking to an AI?

Telling them is good practice, and recording rules vary by state: federal law allows one-party consent, but states such as Florida and Washington require all parties to consent to recording. A greeting that mentions both covers you.

What should I test before going live?

Your ten most common questions, a booking, a transfer, a caller who asks for a person, an out-of-area or out-of-scope request, and an emergency. Read the transcripts and check the summaries arrive where you expect.
